Customer service and sales automation
Every lead answered right away, with nobody copying data from one place to another.
We build automation with n8n, WhatsApp and the CRM you already use. First contact happens within seconds, leads reach your salespeople already qualified, and every visit, proposal and sale is logged.
Signs you need this
Do any of these sound familiar?
- Leads from forms or ads sit waiting until someone opens the inbox.
- Salespeople reply from their personal WhatsApp, and the history leaves with them.
- Someone spends part of the day copying form data into a spreadsheet or the CRM.
- You do not know how many leads from each campaign turned into customers.
- Visits and meetings are scheduled through long back-and-forth messages.
- Leads who did not reply to the first attempt are never contacted again.
What it costs you
A lead that goes cold never shows up in any report. But you paid for it.
People asking for a quote rarely ask only you. They fill in two or three forms, message more than one company and go with whoever replies first and most clearly. When your reply arrives hours later, the decision has already been made.
In practice, part of your ad spend is bringing customers to your competitors. If half your leads go cold before first contact, half your budget is not working for you, no matter how good the campaign is.
There is also a cost nobody measures: hours spent copying data, salespeople picking the easiest leads and ignoring the rest, and no way to tell which campaign actually brings customers. Automation takes over the repetitive work so your team spends its time only where a person is needed.
What we deliver
Customer service that works the same at 9 am on Monday and 11 pm on Saturday.
Instant reply
As soon as the form is submitted, the lead gets a WhatsApp message with their name and what they asked for. First contact no longer depends on someone watching the screen.
Qualification
Short questions separate people who are researching from people ready to buy, and the lead reaches your salesperson with the information that matters.
Lead routing
Automatic round-robin, with an alert to the manager when nobody picks up the lead within the agreed time.
Booking
The lead picks a free time slot, the salesperson’s calendar is updated and both get reminders before the visit or meeting.
Integration with your systems
Data flows straight into your CRM, ERP or spreadsheet. No typing, no leads lost between systems.
Follow-up
A short message sequence for people who did not reply, written in your company’s voice, that stops as soon as they answer.
Tracking dashboard
Where each lead came from, how long first reply took and how many became customers, by campaign and by salesperson.
Documentation and training
Every workflow is documented, and your team learns to use it and adjust it.
How it works
You approve every stage before it goes live.
Mapping
We talk to the people who handle leads, map the current journey and show where leads get lost.
Workflow design
We present the new workflow as a diagram, with every message and integration, for your approval.
Build and testing
We build and test with test leads, without interrupting the operation already running.
Follow-up
In the first weeks we measure response time and conversion and adjust whatever is needed.
Why n8n
Tools chosen for the project, not out of habit.
We mainly use n8n, an automation platform that can run on your own server. That means your customer data stays with you and costs do not grow with every message sent, as happens with tools that charge per execution.
When the project calls for it, we use Make or build the integration in code. The choice is made during the assessment, based on volume, budget and who will maintain the workflow afterwards.

R$40M+
in sales value (VGV) managed in the lead system we built.
- The problem
- High-end leads came in through several channels and went cold in spreadsheets, with no fast reply and no record of who handled whom.
- What we did
- A custom lead management system, automated first contact on WhatsApp and visit booking connected to the agents’ calendars.
Who it is not for
We would rather say it up front.
- Companies that receive few contacts per month and can handle all of them well by hand.
- Anyone looking for a bot to replace human service entirely. Automation does the repetitive work; selling stays with people.
- Companies without a defined sales process yet. In that case, we start with the assessment.
FAQ
About customer service automation.
Do I need the official WhatsApp API?
We work with the official WhatsApp Business API and with messaging gateways. During the assessment we recommend the right option based on message volume, cost and the risk of the number being blocked.
Does it work with the CRM I already use?
If the system has an API or webhooks, yes. We integrate most CRMs on the market, spreadsheets and custom systems. When no ready-made integration exists, we build the bridge.
How long does it take?
A lead reply and routing workflow usually takes a few weeks. The exact timeline for each project is set during the assessment, together with the scope.
Will customers notice the message is automated?
The first message is clear and personalized with the details they submitted. As soon as the conversation needs a person, the salesperson takes over with the full history on screen.
Who owns the automations?
You do. Workflows live in your account or on your server, documented, and keep working even if you stop working with us.
